The Wedding Checklist

For Planning and Organizing Your Wedding at Gashland EPC

Due Upon Booking:

  • Half of Payment & Security Deposit

    This is necessary in order to reserve your date!

  • Linen Rental (If Applicable)

    If you are interested in renting linens for a reception and or rehearsal dinner, we recommend that you reserve your linens upon booking. Otherwise, we cannot guarantee the availability of the linens for your wedding. Thanks!

  • Kitchen Rental (If Applicable)

    It is best to reserve the kitchen for your reception and or rehearsal dinner (if applicable) upon booking. Otherwise, we cannot guarantee its availability as we have to schedule our volunteers to help with kitchen supervision. Thanks!

  • Facility Agreement Form

Due Three Months Out From Wedding:

  • Second Half of Payment

    Payment can be made by check. Please make all checks payable to “Gashland EPC”. Checks can be dropped off at our church office (8029 North Oak Trafficway, Kansas City, MO) Monday through Friday from 9am-5pm.

  • Completion of Premarital Counseling

    Your two premarital counseling sessions with a Pastor at Gashland EPC should be complete approximately three months out.

Due Two Months Out From Wedding:

  • Wedding Ceremony Order Form

    Complete this form prior to the Wedding Ceremony Order Meeting with the Pastor.

  • Wedding Ceremony Order Meeting with Pastor

    This is a meeting where we will plan all the details of your wedding ceremony!

  • Wedding Ceremony Information Form

    This form will provide our Wedding Ministry Director the information that is needed for the processional & recessional.

  • Meeting with Wedding Ministry Director

    This meeting with the Wedding Ministry Director will review decorations, policies, and all the important wedding details!

  • Book Gashland EPC Organist or Pianist (If Applicable)

    If you would like to hire one of our pianists or organists for your wedding, we recommend that you do so at least two months in advance.

Wedding - Ceremony Order

  • Instructions:

    Use the form below in preparation for your ceremony planning meeting with the pastor. It's okay if you do not have everything figured out yet. Feel free to say "I don't know yet" or "I have a question about this." We'll cover everything in greater detail at the meeting. This will simply aid our discussion and help you think about some of these things ahead of time.
    *All weddings will have a pastoral message.
  • For example: "Ushers will come by and dismiss you row by row. The Bride and Groom would like to invite you to their reception at _______. I'd like to ask immediate family to remain in their seat for some family pictures. Thank you."

Wedding Ceremony Information Form

  • Instructions:

    Fill out these questions to the best of your knowledge. It's okay if you don't know the answer to everything. Feel free to write "Not sure" or "Need Help." The Wedding Ministry Director will follow up with you after the form is completed and provide guidance/assistance where needed.

Due One Month Out From Wedding:

  • Music For Ceremony

    Digital music for wedding ceremony be submitted via Spotify to kelsie@gashland.org. Let Kelsie know if you need help figuring out how to do this!

  • Wedding Ceremony Music Form

    This form will provide our sound technician an outline of the music for your ceremony. It will also allow our sound technician to prep any equipment that is necessary for any musicians that you are using.

  • Wedding Ceremony Decoration Form

    This will help us make sure that you have everything you need to decorate for your wedding!

  • Timeline of Wedding Day

    This is not a must. However, if you have a detailed timeline of your wedding day, it would be helpful if you provided us with it. This will allow us to make sure that your wedding day stays on schedule!

  • Slideshow (If Applicable)

    If you would like to play a slideshow at your reception of pictures, you need to submit a slideshow via powerpoint or keynote to kelsie@gashland.org.

  • Music For Reception (If Applicable)

    If you are wanting our sound technician to play music for your wedding reception, you must submit a playlist via Spotify to kelsie@gashland.org. Let Kelsie know if you need help figuring out how to do this!

  • Wedding Reception Form (If applicable)

    This will help us plan out all the details for your reception.

  • Diagram of Chairs & Tables for Reception and/or Rehearsal Dinner (If Applicable)

    This will help our chair team know how to set up the tables and chairs for your reception and or rehearsal dinner.

  • Wedding Rehearsal Dinner Form (If Applicable)

    This will go through all the details of your rehearsal dinner so we can make sure everything is perfect!

Wedding Ceremony Music

  • Instructions:

    Fill out the following questions for our sound tech. Please note, upon approval, playlists for digital songs must be submitted via Spotify to kelsie@gashland.org. Also please be aware that if you are using musicians for the wedding ceremony, they must be present at the wedding rehearsal so that we can do a proper sound check and make sure we have the proper equipment, and mics. If they are unable to make the rehearsal, they will not be allowed to participate in the ceremony. This is because we want your wedding to be done excellently and for things to run smoothly! Thanks!
  • In addition to the song title, please list when the song is to be played. Example: "Canon in D" - Family Members. "Spring" - Wedding Party. "Wedding March" - Bride.
  • In addition to the song title, list at what point during the ceremony the song should be played as well. Example: "Be Thou My Vision" - Unity Candle.
  • Example: Rob Thompson, Guitar & Vocal, "How Great Thou Art." Jennifer Nelson, Piano, "Cannon in D" and "Spring"

Timeline of Wedding Day

  • Max. file size: 512 MB.
    If you have a detailed outline of the timeline for your wedding day, we would love to have it to ensure that everything runs on time.
